Guidance for preparing and circulating the agenda

  • Solicit items to be included from team members in sufficient time to receive replies and circulate prior to the meeting.
  • Use a logical sequence so that if the outcome of one decision affects another item, make sure it follows appropriately.
  • Keep simple items at the top of the agenda, this sets the meeting off to a good start.
  • If an agenda topic is suggested about which little is known, check with the member who requested its inclusion to ascertain and set the timeframe for its discussion.
  • If members advise they will be arriving late or leaving early, be prepared to postpone the discussion or move items up the agenda to ensure their contribution.
  • Ensure that a meeting is the best place to address the items on the agenda. Some items, eg reading a report for approval, could be dealt with in other ways.
  • Circulate documents, reports etc which are to be discussed or about which decisions will be made in advance of the meeting, so that people come prepared to contribute.
