Before the Meeting

  • Draw up and circulate an agenda
  • Use an ‘ice-breaker’ at the beginning of the first meeting
  • Agree ground rules, e.g.,mobile phones switched off, refreshment break format, commitment to equal participation
  • Check that relevant documents have been circulated
  • Check room is appropriate for meeting, e.g., large enough for number of attendees
  • Ensure that necessary equipment is available, e.g., overhead projector, screen, flip chart and pens
  • Check that refreshments have been ordered if necessary and for what time
  • Read all relevant papers
